Buyer's guide · Healthcare CRM

Healthcare CRM for the patient relationship, not a sales pipeline.

Clinics looking for a CRM usually want one thing: no patient left without a next step. Here is what a healthcare CRM does, how it differs from a generic CRM and from your practice management system, and where Coherent fits.

    What is a healthcare CRM?

A healthcare CRM (a customer, or patient, relationship management system) tracks each patient relationship outside the appointment itself: who has enquired, who is due back, who has cancelled, what was said and what should happen next. In a private clinic it works alongside the practice management system, which stays the record for bookings, clinical notes and billing.

Why clinics look for a CRM

Most clinics start looking for a CRM when follow-up stops scaling. Enquiries arrive from the website, social ads, email and the phone; recall lists are exported and worked by hand; and nobody can say which patients are waiting for a reply. A generic sales CRM can track leads, but it was built for pipelines and deals rather than treatment intervals, clinical escalation and patient consent. A PMS holds the appointment data, but it is designed to run the clinic day to day, not to own every follow-up. A healthcare CRM fills the gap between the two.

Healthcare CRM vs generic CRM vs PMS

Three kinds of system, three different jobs. Almost every clinic needs the PMS; the question is what handles the patient relationship around it.

Does a clinic need a CRM if it already has a PMS?

Not always. If your practice management system already sends the follow-up you need, captures replies and shows who is waiting, a second system may add little. Clinics usually need something more when the work around the appointment has outgrown the front desk: enquiries from several sources, recall lists that never get finished, cancellations that are not rebooked and replies scattered across inboxes. Compare the workflows you need with what your PMS already does before adding anything. If you do add a CRM, agree which system is the record for each piece of data and who owns each handover.

Why generic CRMs struggle in clinics

General-purpose CRMs are built around a sales pipeline: a lead becomes an opportunity and the opportunity closes. A clinic relationship does not end at the first booking. A patient may enquire, attend a consultation, start a treatment plan, cancel a session, finish care and be due back months later. Recreating that in a generic CRM means custom fields, syncing appointment data and automations that someone has to maintain, while still deciding how clinical questions, contact preferences and opt-outs are handled. Many clinics end up with a CRM that tracks leads well and loses sight of patients once they book.

    Where Coherent fits

Coherent is a healthcare CRM for high-volume providers that works alongside your practice management system rather than replacing it. Coherent Data finds the patients who need a next step from your patient and appointment information. Coherent Engage reaches out and brings every reply into one inbox. Coherent Coordinator handles the replies, combining AI support with human judgement, and anything clinical, urgent or upsetting goes to a person. Your PMS stays the record for bookings, notes and billing, and your team keeps working in the system it knows.

Signs your clinic has outgrown spreadsheets and inboxes

    • Enquiries arrive by web form, social ads, email and phone, with no single list of who is waiting
    • Recall and reactivation lists are exported from the PMS and worked by hand
    • Nobody can say how many patients cancelled and were never rebooked
    • Replies sit in personal inboxes, and team members cannot see earlier messages
    • A generic CRM tracks leads but loses sight of patients once they book
    • Follow-up stops whenever the front desk gets busy

How Coherent works as your patient CRM

Coherent uses patient and appointment information from your practice management system to build follow-up lists for you: enquiries with no booking, cancellations with no new date and patients with no future appointment. Nobody exports a spreadsheet or builds a list each morning.

What to look for in a healthcare CRM

Questions worth asking any supplier of clinic CRM or patient relationship management software, including us.

    • Works with your PMS

Ask exactly which patient and appointment data it uses, how it stays current and which system remains the record. Avoid re-keying bookings into a second database.

    • Two-way conversations

Patients reply, ask questions and want to rebook. Check that replies land where your team can see them, with the earlier conversation attached.

    • Clinical boundaries

Clinical, urgent or upsetting messages should go to a person rather than receive an automated answer.

    • Contact rules and opt-outs

Check how it decides who is left out, how often anyone can be contacted and what happens when a patient asks to stop.

    • Clinic workflows, ready to use

Recall intervals, treatment plans, consultations and cancellations should be workflows you agree, not custom fields you build yourself.

    • Honest measurement

Ask how bookings are attributed, whether patients are double-counted and whether figures reconcile with your PMS.

    What is a healthcare CRM?

A healthcare CRM (a patient relationship management system) tracks each patient relationship outside the appointment itself: enquiries, follow-ups, recalls, replies and what should happen next. In a private clinic it works alongside the practice management system, which stays the record for bookings, clinical notes and billing. Coherent is a healthcare CRM for high-volume providers: it finds patients who need a next step from your PMS data, reaches out, and brings every reply into one inbox.

How is a healthcare CRM different from a PMS or EHR?

A practice management system (PMS) or electronic health record (EHR) runs the clinic: appointments, clinical records, billing and day-to-day operations. A healthcare CRM focuses on the relationship around those records: who needs contacting, what they said and whether they came back. Some PMS products include reminders, so compare the workflows you need before buying a second system. Coherent does not replace your PMS or EHR; it uses patient and appointment information from it.

Is Coherent a CRM, and can it replace our generic CRM?

Coherent is a CRM built for patient relationships rather than sales pipelines. It finds the patients who need a next step, runs follow-up programmes agreed with your clinic and keeps replies in one inbox, with clinical questions routed to a person. Whether it replaces a generic CRM depends on what that CRM does for you today. Most clinics keep existing tools at first and retire them gradually once Coherent owns the follow-up.

We already use automations (e.g. CRM, recall tools). Do we need to remove them?

No, and we don't recommend ripping anything out on day one. Most clinics: • Keep existing automations initially • Layer Coherent on top to handle replies, nuance, objections, and follow-through • Gradually consolidate or retire tools as Coherent assumes ownership Our long-term aim is to reduce the operational burden of managing multiple systems, not add to it.
