Use case · Patient reactivation

Patient reactivation for the patients who went quiet.

Every clinic has patients who stopped coming without saying why. Coherent finds them in your patient list, gets back in touch personally and helps those who are ready to return rebook, without discount blasts.

From solo practices to large groups, the clinics we support
    care for 563,000+ patients globally.

    What is patient reactivation?

Patient reactivation is the work of bringing back patients who have stopped visiting a clinic and have no future appointment, often months or years after their last visit. Unlike recall, which contacts patients at a known due date, reactivation starts from a lapsed relationship: it finds dormant patients, reopens the conversation personally and helps those who are ready to return book again.

    Why reactivation matters

A dormant patient already knows your clinic. They have been treated, their details are on file and many still intend to come back. Most never receive a personal invitation to do so, so the patient list grows while the number of active patients stays flat. In an established clinic, lapsed patients are often the largest untouched source of bookings, and reaching them needs no new advertising. It only works, though, when contact is relevant, respectful and followed through.

    Patient reactivation vs patient recall

The two are often confused, and they need different timing, messages and measures.

Start with the patients most likely to return

Reactivation works best in phases. Most clinics start with patients who dropped off in the last three to six months, then work further back as results come in. Recent patients remember the clinic and their clinician, so a personal message feels natural rather than out of the blue. Older records are still worth contacting, but check data quality first: phone numbers, email addresses and contact preferences change over the years, and a message to the wrong person does more harm than none.

Why discount blasts are the wrong tool

The usual reactivation attempt is a broadcast email with an offer. It reaches everyone at once, gets few replies and teaches patients to wait for discounts. Personal outreach works differently: a short message that mentions the patient's last visit, asks how they are and makes rebooking easy. Some patients book straight away, some ask a question first and some tell you they have moved or are being treated elsewhere. Every one of those replies is useful, because it either fills a slot or keeps the patient list accurate.

    Make reactivation a standing programme

One-off reactivation pushes leave the next group of lapsed patients to build up again. Running reactivation as a standing programme means each patient who passes the agreed point without a booking is picked up automatically, replies arrive in one inbox, and patients who ask to stop are not contacted again. Measure it separately from new-patient marketing, counting only bookings that followed outreach, so its contribution stays visible and is not confused with recall or advertising.

Signs your clinic is sitting on dormant patients

    • Thousands of patients on the system, but the active list barely grows
    • Reactivation only happens as an occasional email campaign
    • Nobody knows how many patients have no future booking
    • Returning patients say they meant to book but never got round to it
    • Old contact details are never checked or cleaned
    • A discount is the only reason ever given to come back

    How Coherent reactivates patients

Coherent uses patient and appointment information from your practice management system to find patients with no future booking, grouped by how long they have been away and what they were last seen for. You agree who is in scope, and who should be left out, before anything is sent.

What to look for in a patient reactivation service

Whether you buy reactivation as software, as a service or both, these are the points that decide whether patients come back.

    • Personal, not promotional

Messages should reference the patient's history and read as a check-in from their clinic, not as a discount campaign.

    • Phased by likelihood

Start with recent drop-offs and work back, rather than messaging the whole database on day one.

    • Respects exclusions and opt-outs

Patients who ask to stop, or who should be left out for clinical or personal reasons, must be excluded every time.

    • Follow-through on replies

Most of the value is in the reply. Check who answers questions and who books the appointment.

    • Attribution you can check

Bookings should count only when they followed outreach, and should reconcile with your PMS.

    What is patient reactivation?

Patient reactivation is bringing back patients who have stopped visiting and have no future appointment, often months or years after their last visit. Coherent finds dormant patients in your patient list, contacts them personally in your clinic's voice, and helps those who are ready to return rebook, starting with recent drop-offs and working further back.

What's the difference between patient reactivation and patient recall?

Recall contacts patients at a known due date, such as a six-month check-up or a treatment review, so they stay on schedule. Reactivation starts from a lapsed relationship: patients who have gone quiet with no future booking, sometimes for years. Recall keeps active patients active; reactivation brings dormant patients back. Coherent runs them as separate programmes, so each patient gets a message that fits their situation.

How far back in our patient list can you go?

As far back as your data quality allows. Most clinics start with: • Recent drop-offs (last 3–6 months) • Then expand to older patients over time We typically work in phases to prioritise the highest-likelihood reactivations first.

How do you measure performance and value?

We are conservative and transparent. • Reactivations are tracked based on actual bookings resulting from Coherent outreach • Revenue is reported as money actually spent in clinic, not theoretical lifetime value • No double-counting of patients • Reporting can be pulled directly from your PMS where available If you prefer alternative views (e.g. appointment-based averages), we align reporting with how you already measure performance.
